HIRING AN EQUIBUS
STEP 1: CHECK AVAILABILITY
It is our intention to make the hire process as easy as possible. That said, there are some upfront paperwork requirements that are necessary to arrange your fully comprehensive insurance for the hire period. If you have any questions along the way, please do not hesitate to ask.
We are often asked how quickly we get booked up, the answer to which depends on the time of year and many other variables. Weekends and holiday periods are the most in demand so we suggest that you contact us just as soon as you can.
STEP TWO: CHECK ELIGIBILITY
Before we can set you on your way, there are a few things to check and a small amount of paperwork to complete.
In the first instance, you can double check your eligibility to drive via the below summary points:
• Be 23 to 75 years of age (if you are outside of this window, please don't hesitate to contact us)
• Have held a full UK or EU licence for a minimum of two years
• Have not had your licence suspended for any period within the last three years
• Have not been involved in more than one fault incident within the last three years
• Have no more than two convictions with a maximum of 3 points per conviction
• Have not obtained a BA, DD or UT conviction

STEP 3: THE PAPERWORK
1. Complete and return a Hirer’s Questionnaire
2. Provide us with a DVLA licence check code (in order to get this you need to go to: https://www.viewdrivingrecord.service.gov.uk/driving-record/licence-number ). You will need to pop in the last 8 characters of your driving licence number, along with your National Insurance number and your postcode. This will give you a unique code enabling us to check your licence. Pop that code in the Hirer’s Questionnaire and we'll do the rest - please note this code is case sensitive.
3. Provide a copy of your driving licence (both sides)
4. Provide two proof of address documents dated in the last 90 days*
Please note: all documents, including your driving licence, must show the same residential address.
Once we have the above we can confirm the insurance for you to drive. The above steps need to be completed by all intended drivers, if more than one.

STEP 4: PAYMENT & COLLECTION
PAYMENT
On booking of your date we ask that you pay a £20.00 deposit to secure your place in the diary. This £20.00 booking fee is non-refundable.
We then ask that you pay the balance of your hire prior to, or at the time of, collection.
Payment can be made by bank transfer, credit or debit card, PayPal and cash (in part).
There are two further criteria applied by our insurance provider as follows:
1. at least some of the payment must be made by traceable electronic means, i.e. card, bank transfer or PayPal, and must be made by the driver.
2. where the hirer is not the driver, or where there are multiple drivers, an electronic payment (of say £1) must be taken from the driver.
Unlike many other hire companies, we don't ask for a damage deposit prior to your departure. In the event of damage occurring during your hire, a £500.00 excess (£750.00 for drivers aged 23 and 24) applies.
COLLECTION
We offer two collection locations: Manor Farm, Cottesmore, LE15 7DH and Grange Farm Equestrian Centre, Wittering, PE8 6NR
On collection we will take you through all areas of the horsebox and answer any questions you have. No question is a silly question! Once you are happy we will explain what to do on return and send you on your way.
Whilst out travelling with your horse, please remember that it is a legal requirement to travel with your horse's passport.
STEP 5: RETURNING THE EQUIBUS
When you're ready to return the vehicle please just head back to your collection location. All you need to do is check the vehicle for your belongings, clean any hay, bedding and droppings from the horse area and fill the diesel tank back up until it is full - this last step is a strict condition of hire and the diesel should be filled at a fuel station as close to your return location as possible and MUST be filled until the pump clicks off.
